Data Retention and Deletion Policy
How long we keep data, how deletion and export requests work, and what we retain after account closure.
1. Overview
This policy explains how Hypeify retains and deletes the data processed through the Service, how to submit a deletion or export request, and what happens to your data when your subscription ends. It supplements the Terms of Service and the Privacy Policy; if this policy conflicts with either, the Terms of Service control.
Plain-English summary: requests are handled by a human, on a schedule; deletion is thorough but not instantaneous; we keep the records the law and good bookkeeping require us to keep; and after your account closes you have a fixed window to export before routine permanent deletion.
2. How to Submit a Request
Submit deletion, export, access, or correction requests through the Privacy Request form at /privacy-request, or by email to [privacy@hypeify.com].
We verify every request before acting on it — typically by confirming control of the email address on the account — to protect your data from fraudulent requests. We may decline requests we cannot reasonably verify.
3. Processing Is Manual, on a Defined Timeline
The Service does not currently offer instant, self-serve account deletion or full-workspace export. Requests are reviewed and fulfilled manually by our team.
Timeline: we aim to acknowledge requests within ten (10) business days of receipt and to complete verified requests within forty-five (45) days of verification. Where applicable law permits, we may extend once by an additional forty-five (45) days for complex or voluminous requests; we will tell you if we do.
You can export much of your data yourself at any time using in-product export tools (for example, the Accountant Package in Hypeify Books and report/PDF exports in other products). Self-serve exports are the fastest path and we encourage them.
4. What We Retain and Why
Some records are retained even after a deletion request or account closure, for as long as the purpose requires:
- Billing and payment records, invoices, and transaction records — retained up to seven (7) years (or longer where law requires) for tax, accounting, and audit purposes.
- Audit logs and security event records — retained for fraud prevention, security investigation, and dispute resolution.
- Records subject to a legal hold, dispute, chargeback, or governmental request — retained until the matter concludes.
- Records of the deletion request itself — retained to demonstrate compliance.
- De-identified and aggregate data that no longer identifies you — may be retained and used without restriction.
5. Backups
Deleted data may persist in encrypted backups for a limited period — currently up to approximately thirty-five (35) days — until those backups rotate out in the ordinary course. Backups are not queried for production use and are restored only for disaster recovery; if a restore occurs after your deletion, we will re-apply the deletion.
6. Organization Data vs. Personal Data
Business records inside an organization workspace — books, transactions, invoices, menus, inspections, statements, tenant ledgers, and similar Customer Content — are controlled by the organization, not by the individual who typed them in. Hypeify acts on the instructions of the organization (its owner or administrators) for those records.
If you are a team member, tenant, or end customer of a business that uses Hypeify and you want business records about you changed or deleted, direct your request to that business. Where applicable law requires Hypeify to act directly, we will — after verification and, where appropriate, notice to the organization.
Your own account profile (name, email, sign-in identifiers) is personal data you can ask us to delete directly, subject to the retention rules above.
7. Account Closure and Wind-Down
To close an account or delete an organization, submit a request through the channels in Section 2 (cancellation of a paid plan happens in billing settings and is governed by the Refund and Cancellation Policy).
After your subscription ends or your account is closed, your Customer Content remains exportable for a wind-down window of sixty (60) days. After the window closes, Hypeify may permanently and irreversibly delete Customer Content in the ordinary course, without further notice. Export anything you are required to keep — for tax, regulatory, audit, litigation-hold, employment, or insurance purposes — before the window closes.
8. Changes
We may update this policy as our practices, infrastructure, or legal obligations change. The version and effective date above reflect the current revision. Material changes will be reflected on this page.
